From sale to journal entry

A retail sale is not one movement. The customer pays, the inventory is reduced, the cost of goods sold is recorded, revenue is recognised and tax or discounts are tracked. SYEZPOS breaks every sale into the correct debits and credits at the moment the receipt is printed. The cashier does not need to understand accounting; the system posts the journal behind the scenes.

Payment splits are handled automatically. If a customer pays part in cash and part by card, the journal credits revenue once and debits both cash and bank by the correct amounts. Returns and exchanges are also posted in reverse, keeping the ledger clean without manual correction.

Purchase and supplier journals

When goods arrive, the purchase workflow creates the journal. A goods receipt note increases inventory and records the supplier liability. When the supplier bill is processed, the payable is confirmed. When payment is made, the cashbook is credited and the payable is debited.

This chain means the shop knows what it owes, what it has in stock and what it has paid without re-typing anything. Purchase returns and debit notes are also posted automatically, so the supplier ledger stays current as the relationship changes.

Cashbook, expenses and transfers

Every cash-in, cash-out, expense and bank transfer in SYEZPOS creates a journal line. A drawer expense, a customer collection, a bank deposit and a petty-cash withdrawal are not just notes in a book; they become part of the double-entry ledger. Day close posts the counted cash and any variance to the cashbook.

Bank transfers between accounts are also handled with two sides. Money leaves one bank account and arrives in another, or cash is moved to the bank. Both sides are recorded so the cashbook and the bank ledger always reconcile.

Audit trail and adjustments

A journal is only useful if it can be trusted. SYEZPOS attaches a user, a timestamp and a transaction reference to every entry. When something needs to be adjusted, the system records the original entry and the adjustment as a separate manual journal, never overwriting the history.

Role-based permissions protect the ledger. Not every user can create or edit manual journals, and day close entries can be locked once they are verified. When the accountant asks for the story behind a number, the answer is a few clicks away.
