Batch, Lot & Expiry Tracking
Fresh products, medicines and cosmetics have a clock on them. Once a batch passes its expiry date, it can no longer be sold, so every day of unsold shelf life is money at risk. SYEZPOS tracks batch, lot and expiry from the moment goods arrive, giving you the visibility to sell or rotate stock before it becomes waste. By recording each batch separately, you can see exactly how much life is left in every lot, trace it back to the supplier invoice, and make stock decisions by age rather than by guesswork.

Near-expiry stock sells first — write-offs drop on their own
Expiry and waste in fresh goods
Expiry-dated stock is a special kind of risk: the product is still on the shelf but its value is already falling. When the expiry date is only written on the outer carton, staff open boxes in the wrong order, newest sits on top of oldest, and customers reach the back for the longest date. The result is write-offs, recalls and lost margin that could have been avoided with better visibility.
SYEZPOS treats each batch as its own inventory record with a life span. You can see age, remaining shelf life and tied sales at a glance, so slow-moving lots can be discounted, transferred or returned to the supplier while they still have value. The system does not eliminate expiry risk, but it makes it manageable by putting the date in front of the people who handle the stock.
- Track batch number, lot and expiry date from receiving to sale.
- See remaining shelf life by batch so slow stock can be actioned early.
Capture batch and expiry at receiving
The batch trail starts at the receiving dock. If the batch number and expiry are not captured when the goods arrive, the rest of the workflow is built on a missing foundation. SYEZPOS lets you record batch, lot and expiry on the goods received note (GRN) at the same time you update stock, so every unit is linked to the supplier delivery that brought it in.
Recording batch and expiry at receiving also makes the supplier record useful. When a delivery is short-dated or damaged, the captured batch lets you prove exactly which lot was involved, making returns and credit notes faster. Over time, this receiving data becomes a quality ledger you can review when negotiating terms with suppliers.
- Record batch, lot and expiry on the GRN while receiving stock.
- Link each batch to the supplier invoice and PO for faster returns.
Expiry alerts and traceability
Knowing which batch is expiring in three months is only useful if the alert reaches the right person soon enough to act. SYEZPOS can flag batches approaching expiry so managers can plan promotions, transfers or supplier returns before the product becomes unsellable. The alert is a buffer between risk and loss, replacing manual shelf checks with a report that shows which lots need attention and how much time is left.
Traceability works in both directions. You can see every sale, transfer or return tied to a specific batch, and you can trace a batch back to its supplier, PO and receiving date. In a recall or customer complaint, that full chain saves hours of searching and limits the scope of any action to the affected lot, giving both regulators and customers a clear answer.
- Receive expiry alerts with enough lead time to rotate or return stock.
- Trace any batch from supplier delivery through to customer sale.
Expiry-aware batch selection
First-expiry-first-out (FEFO) is the right discipline for expiry-dated goods, but it only works if the picking workflow makes the oldest batch the easiest to identify. SYEZPOS records batch, lot and expiry for every unit and shows remaining shelf life in the batch record, so staff can see which batch to pick before it reaches the shelf. That visibility turns a guessing game into a simple check.
The surrounding workflow still matters. Bins should be arranged so old stock is accessible, expiry labels should be visible, and staff should confirm the batch at the counter. SYEZPOS provides the batch and expiry information, and the daily operating habits enforce the rotation. Together they reduce the chance of a batch expiring before it is sold, making the system a support for discipline rather than a replacement for it.
- At checkout, the oldest batch can be suggested for selection.
- Cashiers confirm the batch, keeping the physical and system records aligned.
